Ideas around NYS EdLaw 2D and Student Account Creation - Student DPA

Good evening,

My name is Mike, and I am a technology staff developer for a Long Island public school district in New York. In order for us to use Sketchup in our district, we would need to make sure that you are under EdLaw 2D Compliance every year. We have a short and simple form that we would need to be signed in order for us to be able to share your awesome website with our technology teachers and middle school students. It is essentially a legal form that I would send to you and you would fill out and we would attach to our database - I’d be happy to send it over if you’re willing to take a look! I previously attempted to reach out via email but have not received a response.

Now I know that this may not be possible (from reading through some of your posts in your forum) - and we have recently reached out to a member of Creation Engine, Inc. team. They mentioned: “If they want to use Sketchup for Schools (browser version), it is fully COPPA compliant and DPA doesn’t apply because we do not collect or store their information”. However, in New York State, it is mandatory for us to get this document signed as a privacy and security measure for our students.

So I’m curious:

  1. Can use Sketchup for Schools browser version referenced below without providing any identifiable information like their name or email address? Do they not need to log in?

  2. Eventually, would it be possible for you to develop a student account creation page similar to Tinkercad’s, where we can create “Classroom” accounts for students without collecting any personally identifiable information? Here’s a picture attached below:

  3. Lastly, how many users can share the same email address simultaneously? I understand this may be a workaround, but could we, in theory, create one or two generic student accounts with no PII and allow 30 users to log in at the same time?

Hi @mdavol1, thanks for the post and sorry for the delay in our reply. I can do my best to answer your questions although I am neither a lawyer or a developer who coded anything on our web versions so take what I way with a grain or two of salt.

First up, we never handle any student information. The login process is automatically handled by Google or Microsoft. We have no idea who is using SketchUp.

Second, we do not store any student data either as it is all handled once again by either Google or Microsoft nor can we access the student data in any way. As a result, we do not have any idea what is being done with SketchUp.

Finally, I suppose students could share a generic or classroom account if needed but you would need to check with your IT team on the specifics of that and it would have to be one generic account per student logged in as we do not currently support more than one person per account at the same time.

If you have specific questions about our EULA or TOS I am happy to see if I can find an answer to them, although it may take a while to get one as our legal team is spread a bit thin at the moment.
